Clubs & Societies De-Recognition Policy

Although it is hopefully not a common occurance, Staffordshire University Students’ Union does recognise that Clubs and Societies do cease running for a variety of reasons. Following occasions where Clubs and Societies have ceased to run but not informed the department, the Students' Union has passed a Clubs & Societies de-recognition policy.

The aim of the policy is not punitive, and instead aims to recognise when Clubs & Societies have ceased activities or are not fulfilling compulsory objectives (such as health & safety or financial requirements) and gives a final outcome that should allow the department to focus resources and staff time on active clubs & societies.

Any student group recognised by the Students’ Union can be investigated as part of an audit, or for de-recognition proceedings at any point during the academic year.

Examples that could lead to de-recognition

  1. Being financially inactive for a year
  2. Being overdrawn without prior agreement from the Students’ Union
  3. Acting outside the remit or objectives of its aims & objectives.
  4. Acting contrary to Students’ Union policy or procedure
  5. Having false authorised signatories
  6. Not taking due duty of care towards their members, i.e. not completing risk assessment forms for all activities or not taking the actions specified within those documents, or otherwise endangering the safety of members
  7. Not attending the compulsory committee training session or made any attempts to receive training and guidance in running their committee.
  8. Not attending the student group meetings called and specified as requiring attendance (for example Committee Training Day, Committee Catch Up Meetings) without first speaking to the department and attempting to arrange for someone to attend on behalf of the group.
  9. Not maintaining regular contact with the Student Activities Department, as shown as not responding to attempts at electronic or verbal communication.
  10. Not acting in the interests of all of its members, either in provision of activities or the manner in which assets are used.
  11. Not utilising the sports facilities or rooms booked for them as a Union Club or Society on 3 or more consecutive occasions.
