Clubs & Societies Equipment

Any equipment that is purchased using 'groups funds' legally belongs to the Students' Union, as the parent organisation of all recognised clubs & societies. So that the equipment can be insured, we need to keep a record so we know what belongs to us.

What are 'group funds'?

'Group funds' are considered as any money from the Union sponsorship (63) account, and any money in the fundraising account (64) that has not been directly paid in for a specific purchase (e.g. money paid in by members for a hoody each that was then used to buy the hoodies would not be 'group funds').

'Group funds' may be used to purchase equipment or kit for the group as a whole (for example, playing balls or nets, a non-personalised 'club kit' for use by everyone, or equipment specific to your activity). They should not be used to purchase personalised items, or items that will be kept by members, unless specifically agreed with your site Co-ordinator in advance.

Equipment Inventory Form

All equipment purchased using 'group funds' and therefore belonging to the Union must be inventoried, as the Union pays to insure their belongings. Therefore, all groups must submit an equipment inventory to the department at least once per year and keep the inventory up to date with any new purchases. If a group does not have any equipment, they will be required to confirm this to the department if asked during an equipment inventory check.

Please note: on the form columns with yellow headings must be filled in. Please fill in columns with blue headings if you know the information, and columns with red headings only need to be filled in if the item has its own insurance.
