The Students’ Union is run by students for students – that means we’re completely dedicated to representing students at Staffs and helping provide what they want from their student experience. That covers everything from advice and support, great venues and events to representation, sports clubs, activities and even a dedicated student media service.
We’re constantly striving to ensure the best possible experience for all students at Staffs and free membership of the Students’ Union is automatic on enrolling at Staffordshire University. That means our students get to have their say in what we do and how we do it.

All trips you go on as a club or society must be registered with the Students' Union. This is because we have a responsibility towards all of our members - including helping you organise the trip. Please read the Transport Booklet for full information.
Please be aware, the Union does not endorse 'tours'. If you are planning a tour or trip abroad then we recommend you read a copy of our Advice for Travelling Abroad as a Group.
Please inform the Students Activities team where you will be going by completing a Trip Registration Form (Word / PDF) and submitting it to your key staff member.
You will need to complete all sections of this form, including providing a brief itinerary and your overnight location if necessary.
You will also need to carry out a risk assessment for the trip - unless you are using an external provider for your trip, where you should provide their risk assessment.
If you are going to an external venue or the trip is being conducted by another organisation, we need to see proof that their cover of public liability is over £2 million. If you ask for a copy of their Public Liability Certificate, they should provide it.

The Students' Union can offer a number of ways for you to travel to your destination.
You can travel using your own vehicle. Fill out a Private Car Registration Form to ensure your vehicle is registered.
You can hire out a vehicle from Afford Rent-a-Car using the Students' Union's group insurance. Please arrange to get your driver put on the Union's Insurance. If you'd like to drive a minibus, you will also need to take a minibus test.
Coaches are available to hire, ranging from 33-seaters to 57-seaters. The cost depends upon the size of the coach, the length of time you would like it for and the distance to your destination - please contact your key staff member if you would like to get a quote for a coach and book one. We have sample quotes for travelling to fixtures available by clicking here.
Taking public transport could be cheaper if you are travelling as part of a small group and going into a city centre. If you would like to travel this way, please inform your key staff member.

If you would like to book a vehicle from Afford, you can find quotes from this price list. If you are travelling by coach, your key staff member will be able to give you a quote based upon the information above.
Establish how much money you have available for your trip/excursion in your Club or Society Account. Get an up to date account balance from your key staff member or the Finance Window in Stoke. If you need to, collect the money in for your trip by setting up a product online.
Funds will be taken directly from your finance account. Please note that it make take 28 days until the money leaves the account.
Fuel costs can be claimed back by the driver after the journey, at a rate of 20p per mile. Please use a claim form to claim back the money.
If you wish to cancel your booking, please let the Activities team know as soon as possible. You may still be charged if you cancel with less than 24 hours notice.
Complete a Passenger List and hand it in to the Student Activities department immediately prior to departure.
If you are leaving outside of office hours, please post your passenger list in the green post box on the Security Lodge at College Road or Beaconside.
Please ensure you complete all the boxes on the form for every passenger, in case of an accident or an incident.
