Using your own vehicle

If you're intending on using your own vehicle for trips for your club or society, you will need to register your vehicle with the Students' Union.

This is because of a law regarding corporate manslaughter. The Students' Union is liable for any injury or death that is caused by vehicles driven by our groups, so we need to ensure all vehicles used are roadworthy.

Private car registration

Download a Private Car Registration form or collect one from the Student Activities department.

As part of the process, you will need to supply a copy of:

  • Both sides of your plastic driver's licence;
  • Your paper driver's licence;
  • Your vehicle's MOT certificate (or if your car is less than 3 years old, the new car registration);
  • Your motor insurance; and
  • Your car's tax disc (a close up photo will suffice)

Once completed, hand the form to Student Activities who will register you on our database.

After you've registered your car, you'll be able to claim fuel costs for journeys you make for your group - use the claim form in order to do this.  Fuel is reimbursed at the rate of 20 pence per mile.  You won't be able to get your fuel costs back until you've registered your vehicle!

What do I need to be aware of?

We ask that you inform your insurers that you intend on being a volunteer driver - this should not affect your car insurance.

It is your responsibility to inform the Students' Union of any changes that apply - such as if you change your vehicle - as well as making sure you tell us when you renew your insurance, MOT and tax. Your registration will run out once one of these documents expire - meaning you will not be able to claim money back.
