Refund Policy
Claims for refunds must be made within 2 weeks of the Online transaction via www.staffsunion.com. Any payment will be at the discretion of Staffordshire University Students’ Union. It is not standard procedure to issue refunds unless the Union is in breach of the advertised product.
Clubs and Societies - Enquiries regarding refunds should be made in the first case to the Student Activities Officer studentactivities@staffs.ac.uk who will respond to your enquiry within 5 working days.
Events - Enquires regarding refunds should be made in the first instance to the Commercial Services Officer commercialservices@staffs.ac.uk who will respond to your enquiry within 5 working days.
If a refund is sanctioned, the monies will be paid to the individual by BACS if the individual is on the Students’ Union payroll system, or by cheque, within 10 working days of approval of the refund claim.
Staffordshire University Students’ Union reserves the right to refund any product and remove membership where applicable or request change in membership type where purchaser doesn't fulfil the correct criteria in line with the Unions Policies and Practices.
Clubs & Societies Membership
1. Membership Fee Inclusions
Prior to signing up to a Club or Society speak to the Committee to find out what your membership includes and if there are any further expenses throughout the year. The membership fee usually covers the core costs of your chosen activity such as transport, entry fees, affiliation fees, etc. This year the Union is sponsoring all student members* by 60%, which means they contribute 60p for every 40p you pay. Membership fees do not include the cost of social events, personalised clothing, tours, etc.
*Up to a maximum membership target set at the start of the year for the club or society
2. Personal Accident Insurance
Members to most sports clubs* and some societies have paid a £3.00 premium to cover any Personal Injury which may occur whilst taking part in a recognised Union activity. Cover is 24 hours a day, 365 days a year & world wide. This policy is held with Endsleigh Insurance (Brokers) Ltd. and is “The BUSA Personal Accident Insurance Plan for Students” (Platinum Cover). The policy provides protection ‘anywhere in the world whilst taking part in organised events (either by the Students’ Union or the University) or training and practise sessions; Whilst travelling to and from any of these activities.

Should you suffer an injury whilst taking part in an insured activity;
1. Report the incident to the Students' Union, via the main reception, the Student Activities offices or the Sports Centre.
2. Complete a Students Union Accident Report Form and provide proof of your membership to the Club or Society in question.
3. Discuss your claim with a member of Student Activities staff who will be able to advise you. (A successful claim will depend on the nature of the injury or loss and factors relating to “compensation” for hospitalisation, expenses incurred, see above)
4. Complete an Endsleigh Insurance Claim Form available via the Student Activities Office.
*The exception being where equivalent insurance is provided by a National Governing Body to which the club is affiliated. In such cases please see the relevant NGB’s website for details of the cover provided
3. Service Standards
All Club or Society members can expect to receive;
- The opportunity to attend regular meetings, events, activities, trips and socials as arranged.
- The opportunity to stand for a committee position or vote in their elections (Staffs students only)
- For Sports Club – to attend regular training sessions and have the opportunity to be selected for the teams.
4. Activity Members’ Code of Conduct
When joining a club or society you are agreeing to abide by the constitution, general rules, regulations and policies of Staffordshire University Students’ Union (All policies are available here) and also the Activity Members Code of Conduct which sets out the level of behaviour & discipline expected of all Club & Society members.
5. Complaints
Complaints about anything relating to Club or Societies can be made by emailing the Membership Services Manager, Margaret Mulholland (m.h.mulholland@staffs.ac.uk) or by completing a complaints form with any member of the Students’ Union’s Front of House team.
These terms shall be governed by English law and are subject to the exclusive jurisdiction of the English Courts. Nothing in these terms shall exclude liability for fraudulent misrepresentation.
