How we use your information

This privacy notice tells you what to expect when the Students' Union collects personal information. It applies to information we collect about:

  • visitors to our websites
  • complainants and other individuals in relation to feedback, complaint or enquiry
  • people who use our services, eg who join clubs and societies, vote in elections (but not how), attend events
  • people who notify under the Data Protection Act
  • job applicants and our current and former employees

When someone visits we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting any of our websites . We will not normally associate any data gathered from this site with any personally identifying information from any source. The exception to this is when a service is delivered through the site, such as a ticket or membership purchase or participation in democracy (though only that you participated, we don't collect how you voted).

If we do want to collect personally identifiable information through our website, we will be up front about this. You can view the information that is associated through your "account" page on the website, such your transaction history, memberships and contact options.

We respect our members privacy and data and will not share your personal information with any external organisation for the purposes of marketing to you, or otherwise, unless required in law to do so, or in the detection or prevention of criminal activity.

Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.

The website requires the use of two persistent cookies, which under Regulation 6 of the UK Privacy and Electronic Communications Regulations, must be declared to the website's users. The first cookie the website uses is for statistical purposes and is a cookie utilised by Google Analytics. All the information recorded is anonymised and is purely used to help the Union understanding the usage of its website better. The second cookie, which is purely optional, will be placed on your computer if you select the 'Remember Me' option, which is available on certain login panels.

In addition when Twitter, Facebook or YouTube content is embedded upon the Union site, these services may use cookies as part of their regular service.   1. At the time of your 'chat' you may request a transcript of the conversation by pressing the printer or envelope icon at the top of the chat window.
  2. Neither the Students' Union nor any of its affiliates shall be liable for any direct, incidental, consequential, indirect, or punitive damages arising out of advice given during a LiveChat conversation. 
  3. Staffordshire University Students' Union will keep a transcript of every 'chat' had through LiveChat. This transcript will be kept for 24 months at The Union and will be used for training and quality evaluation, and in the event of a users complaint in relation to the LiveChat service.
  4. All LiveChat conversations are completed over a secure transmission and are confidential between the "caller" and The Students' Union, unless express permission is given by the "caller". However, if there is risk of someone being harmed or other unlawful activity, we may have to pass some details onto the authorities.
  5. Furthermore, when you are using LiveChat, please do not transmit any unlawful, threatening, libellous, defamatory, obscene, pornographic or profane material, or any material that could constitute or encourage conduct that would be considered a criminal offence or violate any law.

By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.

To enter the competition you must tag a Facebook friend from your own profile in the comments section of the University's or Students' Union's Facebook pages. Entrants are restricted to one tag per page, meaning you can tag a friend on both pages. You are not permitted to tag yourself. Any indication that you have tagged a false profile that could also be you will lead to you being disqualified from the competition. If the friend you tagged wins the competition, the friend is entitled to take you or any other friend they choose. 

All winners of the competition and their guests must be current students of Staffordshire University. Before we hand over the tickets we will check the winner and his/her guest to ensure they meet this criteria. 

By entering the competition, all entrants agree to receive promotional email messages from the Students’ Union from time to time.

No cash alternative to the prizes will be offered. The prizes are not transferable. Prizes are subject to availability and we reserve the right to substitute the prize with another of equivalent value. Where possible we will give prior notice of any change to the prize. 

There is no entry fee and no purchase necessary to enter this competition.

No responsibility can be accepted for entries not captured for whatever reason.

The Students’ Union and the University reserve the right to cancel or amend the competition and these terms and conditions without notice.

All winners will be chosen at random.

Winners will be notified by Facebook, with a tagged status indicating your win. If winners cannot be contacted or do not claim the prize within 5 days of notification, we reserve the right to withdraw the prize from the winner and choose another winner at random.

The Students’ Union decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.

The winner agrees to the use of his/her name in any publicity material. Any personal data relating to the winner or any other entrants will be used solely in accordance with current UK data protection legislation and will not be disclosed to a third party without the entrant’s prior consent


Claims for refunds must be made within 2 weeks of the Online transaction via Any payment will be at the discretion of Staffordshire University Students’ Union.  It is not standard procedure to issue refunds unless the Union is in breach of the advertised product.

Clubs and Societies - Enquiries regarding refunds should be made in the first case to the Student Activities Manager at who will respond to your enquiry within 5 working days.  Please refer to the Clubs & Societies Refund Policy for further details.

Events - Enquires regarding refunds should be made in the first instance to the Finance Manager via who will respond to your enquiry within 5 working days.

If a refund is sanctioned, the monies will be paid to the individual by BACS if the individual is on the Students’ Union payroll system, or by cheque, within 10 working days of approval of the refund claim.

Staffordshire University Students’ Union reserves the right to refund any product and remove membership where applicable or request change in membership type where purchaser doesn't fulfil the correct criteria in line with the Unions Policies and Practices.

Membership Fee Inclusions

Prior to signing up to a Club or Society speak to the Committee to find out what your membership includes and if there are any further expenses throughout the year. The membership fee usually covers the core costs of your chosen activity such as transport, entry fees, affiliation fees, etc. This year the Union is sponsoring all student members* by 50%, which means that the cost of joining all clubs and Societies, is half what it actually coasts to run the group. Membership fees do not include the cost of social events, personalised clothing, tours, etc.

*Up to a maximum membership target set at the start of the year for the club or society.

Personal Accident Insurance

Members to most sports clubs* and some societies have paid a £3.00 premium to cover any Personal Injury which may occur whilst taking part in a recognised Union activity. Cover is 24 hours a day, 365 days a year & world wide. This policy is held with Endsleigh Insurance (Brokers) Ltd. and is “The BUSA Personal Accident Insurance Plan for Students” (Platinum Cover). The policy provides protection ‘anywhere in the world whilst taking part in organised events (either by the Students’ Union or the University) or training and practise sessions; Whilst travelling to and from any of these activities.

Should you suffer an injury whilst taking part in an insured activity;

  1. Report the incident to the Students' Union, via the main reception, the Student Activities offices or the Sports Centre with a completed Accident Report Form.
  2. Discuss your claim with a member of Student Activities staff who will be able to advise you. (A successful claim will depend on the nature of the injury or loss and factors relating to “compensation” for hospitalisation, expenses incurred, see above)
  3. Complete an Endsleigh Insurance Claim Form available via the Student Activities Office.

*The exception being where equivalent insurance is provided by a National Governing Body to which the club is affiliated. In such cases please see the relevant NGB’s website for details of the cover provided.

All Club or Society members can expect to receive:

  • The opportunity to attend regular meetings, events, activities, trips and socials as arranged.
  • The opportunity to stand for a committee position or vote in their elections (Staffs students only)
  • For Sports Club – to attend regular training sessions and have the opportunity to be selected for the teams.

Activity Members’ Code of Conduct

When joining a club or society you are agreeing to abide by the constitution, general rules, regulations and policies of Staffordshire University Students’ Union (All policies are available here) and also the Activity Members Code of Conduct which sets out the level of behaviour & discipline expected of all Club & Society members.

Our Venue operating licenses stipulates that persons under the age of 18 must be accompanied by a responsible adult and under-18s are not permitted to use the licensed areas of our venues after 7pm. In order to prepare food and give you time to enjoy your meal, we may have to advise you of license restrictions if you place a food order after 6pm.

Our children’s menus have been specifically developed for children in response to feedback from members of the Students’ Union with children. Items on our children’s menus can only be ordered by customers accompanied by children, for consumption by persons below 12 years of age.

Children under 5 can eat for free (either 1 Lite Bite or 1 Mini Meal) when accompanied by an adult spending over £5 on food from the main food menu (max of 2 under 5s per adult).

We also understand that some small children can be selective in what they eat. We will do what we can to accommodate any special requirements you may have.

High chairs are available on request.

Soft drink choices are a regular Coke, Diet Coke, Lemonade, or Squash.

Complaints or suggestions about anything relating to the Students' Union can be made by emailing the or by completing a complaints form with any member of the Students’ Union’s Front of House team.

These terms shall be governed by English law and are subject to the exclusive jurisdiction of the English Courts. Nothing in these terms shall exclude liability for fraudulent misrepresentation.
